AIDEN Colleague is operated by Redbaez (ABN pending), based in Melbourne, Australia. This policy explains what data we collect, how we use it, and your rights.

What we collect

  • Account information: Your email address (used for magic link authentication) and name.
  • Agency documents: Files your agency uploads to train the AI colleague (brand guidelines, processes, reference materials).
  • Staff interviews: Responses from team member interviews used to build Phantom personalities.
  • Chat conversations: Messages exchanged with the AI colleague during normal use.
  • Team member profiles: Names and email addresses of people added to your agency workspace.
  • Phantom data: Personality profiles generated from interview responses and agency context.

How we use your data

Your data is used to:

  • Power your AI colleague. Documents and interviews are processed to create contextual, agency-specific responses.
  • Build and improve Phantom personalities so the AI colleague reflects your team accurately.
  • Authenticate you and manage your account.
  • Monitor for errors and improve platform reliability.

We do not sell your data. We do not use your agency content to train models for other customers.

Third-party processors

Your data is processed by the following services in order to deliver the product:

  • OpenRouter (API routing) and Moonshot AI / Kimi K2.5 (chat generation): Your messages are sent through these services to generate AI responses.
  • Anthropic (Claude Haiku): Used for content analysis and Phantom quality assessment.
  • OpenAI (embeddings): Document content is converted into vector embeddings for retrieval.
  • Supabase: Database hosting and authentication.
  • Railway: Application hosting.
  • Sentry: Error tracking and performance monitoring.

Data retention

Your data is kept for as long as your subscription is active. If you cancel, you can request deletion of all your agency data. We will delete it within 30 days of receiving your request.

Your rights

Under GDPR and UK GDPR, and as a matter of principle regardless of where you are based, you have the right to:

  • Access your data and receive a copy of it.
  • Correct inaccurate information.
  • Delete your data (subject to the retention terms above).
  • Export your data in a portable format.

Cookies

We use session cookies provided by Supabase for authentication only. We do not use tracking cookies, analytics cookies, or any third-party advertising cookies.

Changes to this policy

If we make significant changes, we will notify you by email. Minor updates will be reflected by updating the effective date at the top of this page.
